By making a reservation at any The Cauldron® or Wizard Exploratorium® venue, you agree to our reservation and cancellation terms.
We thank you for your understanding and cooperation and look forward to welcoming you to our magical venue.
1. Purchases and Payments
- All purchases are final and non-refundable, except in the case of technical errors, duplicate payments, or any other exceptional circumstances.
- A debit/credit card is required for all purchases and will be securely stored in a PCI-DSS compliant vault.
- A payment processing fee will be charged per ticket at the time of payment, and VAT, sales tax, and/or other applicable tax will be applied to the ticket price.
- Additional fees or charges per ticket may apply, based on the specific experience, special offerings, or upgrades.
- Tickets may be transferred between individuals but not between venues or events unless explicitly stated.
- Ticket prices may increase based on market conditions, availability, or special events.
2. Deposits and Table Bookings
- Deposits paid for table bookings are non-refundable.
- The entire deposit amount must be used for food, drinks, or other purchases during the visit or it will be forfeited.
- Deposits cannot be applied to gratuity or service charges.
3. Confirmation of Booking
- A reservation for a ticketed immersive experience made through our ticket booking system is only confirmed upon receiving a booking confirmation email. This does not apply to tickets purchased through third-party platforms, such as EventBrite, for weekly events (e.g., bingo, trivia).
- Please ensure your booking is made directly through our system for immersive experiences to guarantee a reservation.
- Unconfirmed reservations that have not been paid in full cannot be held.
- Guests may be required to provide proof of purchase to redeem tickets or reservations (e.g., showing a confirmation email).
4. Gift Vouchers and Third-Party Ticket Vouchers
- Gift vouchers purchased through The Cauldron® can be redeemed by contacting our support team via WebChat or email. To redeem, please reach out to our customer support team for assistance with booking at:

- If you have a third-party ticket voucher, there may be additional fees depending on the day, time, or type of experience you are booking. For example, if your voucher is for a Wednesday booking, but you wish to use it on a more expensive day (like a Saturday) or for a different immersive experience than the one purchased, the price difference must be paid at the time of booking.
5. Rescheduling and Cancellations
- Bookings may be rescheduled if a request is made at least 48 hours before the scheduled reservation through our self-serve "move booking" feature or via customer support.
- Rescheduling is subject to availability and must be completed within the venue's time zone.
- No refunds are offered for date or time changes. Please contact the following emails for rescheduling:

- If moving from a higher-priced time or event (e.g., super-peak or peak) to a lower-priced time or event (e.g., off-peak), no partial refund will be provided.
- Additional charges will apply for moving from a lower-priced time or event (e.g., off-peak) to a higher-priced time or event (e.g., peak, super-peak, or special events), or when upgrading to a premium experience.
6. Arrival and Late Policy
- To fully enjoy the experience, guests should arrive 10-15 minutes before the scheduled start time. Late arrivals may result in missing parts of the experience, and no extra time, refunds, or rescheduling will be provided.
- No-Show Policy: If you fail to show up for your reservation or arrive more than 15 minutes after your scheduled time without prior notice, your booking will be considered a no-show, and the reservation will be forfeited without a refund.
7. Behavior and Conduct
- Any guest who appears intoxicated or behaves aggressively will be removed from the premises, and no refund or reschedule will be offered.
- The Cauldron® and Wizard Exploratorium® reserve the right to refuse entry or service to anyone not adhering to the venue's policies.
- We are a Safe Space and a queer-owned and managed company. We expect guests to treat our team and fellow guests with respect. Discriminatory behavior, including transphobia, homophobia, and all forms of hate, is not tolerated.
- Damage to Property: Guests are responsible for any damage they cause to the property, equipment, or fixtures at The Cauldron® or Wizard Exploratorium® due to negligence or misconduct. The cost of any damages will be charged to the guest’s credit card or billed directly.
8. Magic Wands
- One magic wand will be provided for every 3 guests.
- A debit/credit card is required for wand rental, and the card will be pre-authorized.
- Fees apply for damaged or missing wands: £20 in the UK / $30 in the US for broken wands, and £50 in the UK / $60 in the US for missing wands. Fees are subject to change but will not exceed the cost of replacing a new wand.
- Magic wands can be purchased as souvenirs online or at the venue at a special rate before departure, subject to availability.
- Our magic wands "work" to activate various elements of the Experience, allowing you to brew your potions and interact with your surroundings. They also work with our Wizard Smart Switch, a magic wand-activated Smart Plug for your home.
9. Pre-Ordered Items
- Guests may pre-order additional drinks or merchandise via our online booking system, website, or the link provided in the confirmation email.
- Availability of pre-ordered items is not guaranteed, but efforts will be made to fulfill all requests.
- If pre-ordered items are unavailable, guests may be offered a refund or an alternative item, subject to availability.
- Refunds for pre-ordered items (if applicable) will be processed via the original purchase method and not on-site.
- The venue reserves the right not to serve pre-ordered alcoholic beverages if guests are intoxicated or it is unsafe to do so.
10. Cake Cutting Fee
- Guests may bring their own cake, subject to a cake-cutting fee that will be provided upon request.
- All cake equipment, including plates, eating utensils, napkins, and any serving tools, must be provided by the guest.
- No cakes requiring refrigeration or additional preparation can be accommodated on-site.
11. Weekly and Seasonal Events
- Certain venues may host weekly or seasonal events, including but not limited to bingo, drag brunch, drag shows, and pub trivia. These events may have unique pricing, terms, and times, which will be listed on the event’s booking page.
- The cancellation, rescheduling, or changing of a booking for weekly or seasonal events may differ from the standard policy for immersive experiences.
- Please refer to the specific event’s terms and conditions at the time of booking for details on cancellations or changes.
12. Alcohol Policy
- All adult tickets are for guests above the legal drinking age and include the option to add alcohol to any of the potions.
- Alcohol is optional and not required to complete the experience. Guests can choose to make their potions without alcohol at any time.
- The ticket price remains the same regardless of whether alcohol is consumed. Guests are paying for the immersive experience, not the alcohol itself.
- All alcohol consumption is subject to legal drinking age verification (21+ in the USA and 18+ in the UK). Verification will be done at the venue, and failure to meet the requirement may result in a denied alcohol service without any refund or ticket change.
13. COVID-19 Policies
All venues adhere to current government regulations regarding COVID-19, which may include mask-wearing, social distancing, temperature checks, and contact tracing. Policies are subject to change as government guidelines evolve, and The Cauldron® venues will follow the most up-to-date regulations.
14. Specific Venue Policies and Ticket Types
- Venues may have specific ticket offerings (e.g., Potion Making, Afternoon Tea, Magic Wand Experience), and ticket prices may vary based on demand, time, and day. Seasonal and specialty tickets (e.g., Halloween, New Year’s, etc.) may be available with different offerings or prices.
- The experience includes the activities and features outlined on the booking page for each specific venue and experience.
15. Children and Family Policies
- Child-friendly sessions are available at specific times. Children under the age of 5 are not permitted for potion-making experiences.
- For family-friendly experiences, one adult (18+) is required for every 3 minors (under 16). People under the legal drinking age (21 years in the US and 18 years in the UK) are not permitted on-site after 8pm.
16. Dietary and Accessibility Policies
- Guests are responsible for informing the venue of any dietary restrictions or allergies at the time of booking. These are not guaranteed to be accommodated.
- Special requests cannot be guaranteed without prior notice.
- We cannot cater to nut allergies.
- No substitutions or changes to specific food items for Wizard Afternoon Tea are allowed due to the set menu.
- There are not designated baby-changing facilities on-site.
- Accessibility options may vary by venue, and some historical buildings may have limitations. Guests are encouraged to inquire ahead of booking.
17. Gratuity/Service Charge
- Gratuity/Service Charge is not included in the ticket cost purchased online.
- After the experience, guests will be presented with a suggested gratuity or service charge (typically 20% in the USA and 12% in the UK), which can be adjusted to suit satisfaction.
- Gratuity/Service Charge may be automatically applied to large groups.
18. Group and Event Bookings
- For groups of more than 14 people or special events, please contact our Event Coordinator to create a tailored package.
- Group bookings may require additional admin fees, deposits, or minimum spend requirements.
- Large groups may have gratuity/service charges automatically applied.
- Payments for group bookings can be made in full or split into installments, depending on the size and date of the event.
19. Limitation of Liability
- The Cauldron® and Wizard Exploratorium® are not responsible for any loss, theft, or damage of personal belongings while on our premises.
- Additionally, The Cauldron® and Wizard Exploratorium® will not be held liable for any injuries or accidents that occur during the experience unless caused by gross negligence or willful misconduct by the venue or its employees.
- Participation in any activities is at the guest’s own risk.
20. Force Majeure
The Cauldron® and Wizard Exploratorium® will not be held liable for failure to fulfill bookings or provide services due to events beyond its control, including but not limited to acts of God, war, terrorism, government regulations, pandemics, or natural disasters. In such cases, we reserve the right to cancel or reschedule bookings, and no refunds will be issued unless otherwise stated by the venue.
21. Refunds for Service Disruptions
In the event of a venue closure or service disruption due to reasons outside of our control, including but not limited to staff illness, equipment failure, or necessary maintenance, The Cauldron® and Wizard Exploratorium® reserves the right to offer guests the opportunity to reschedule their experience. Refunds will not be provided unless otherwise determined by the venue.
22. Photography and Media
By attending The Cauldron® or Wizard Exploratorium®, guests consent to being photographed or filmed for promotional purposes. The Cauldron® and Wizard Exploratorium® reserve the right to use such media in marketing, social media, and advertising. If you do not wish to be included in media, please notify our staff at the time of your visit.
23. Health and Safety
For your safety and the safety of others, guests are required to follow all safety instructions provided by staff. The Cauldron® is not responsible for any injuries sustained as a result of failure to adhere to safety guidelines, including but not limited to misuse of equipment, fire hazards, or improper handling of glassware.
24. Privacy and Data Protection
The Cauldron® collects and stores personal information, including names, email addresses, and payment details, for the purposes of fulfilling bookings and providing services. All personal information is securely stored in compliance with GDPR (for UK venues) and other applicable data protection regulations. We do not sell or share your information with third parties without your consent. For more information, please see our Privacy Policy.
25. Dispute Resolution and Governing Law
Any disputes arising from these terms and conditions will be governed by the laws of the jurisdiction in which the relevant venue is located. The parties agree to resolve disputes through good faith negotiations. If a resolution cannot be reached, disputes will be handled through binding arbitration or mediation, as determined by the venue.
26. Changes to Terms and Conditions
The Cauldron® and Wizard Exploratorium® reserve the right to modify these terms and conditions at any time without prior notice.
